AMBASSADORS & HEAD OF DELEGATIONS MEETING
All Ambassadors and Heads of Delegations are required to attend a rehearsal for the Closing Ceremony on Thursday at 12:30 in the KWA Theatre.
BADGES
Please ensure that you take proper care of your THIMUN badge. Access to your assigned forum, committee, or commission will not be granted without a valid badge. If you lose your badge, a replacement can only be requested through the Information Desk by a MUN Director on behalf of the delegate. A fee of EUR 30.00 is required at the time of the request.
Requests for new or replacement badges submitted before 10:00 can be collected by 12:00, while those submitted after 10:00 will be available for pick-up at 14:00.
Please note that minor spelling errors in the delegate’s name will not warrant a badge replacement. If you notice a discrepancy, kindly email us the correct spelling, and we will make the necessary adjustment for the certificate.
BRIEFINGS
Mandatory briefings for the Student Officer team, ICC, NATO, and the MUNITY press team will take place on Monday afternoon from 15:00 to 17:00.
The briefings will be held in the following rooms:
- Student Officers: Everest
- International Criminal Court (ICC): Asia
- NATO: Antarctica
- Historical Security Council (HSC): Central America
- MUNITY Press: Nile & Seine
BULLYING
THIMUN Policy on Undiplomatic Behaviour, Bullying, Harassment, and Discrimination
THIMUN is committed to maintaining a respectful and professional environment at all times, both in preparation for and during the conference. Any instances of undiplomatic behaviour, bullying, harassment, or discrimination should be reported directly by the attendee or through their faculty advisor, head committee chair, or one of the executive student officers. Such behaviours are considered violations of THIMUN’s core values and are incompatible with the organisation’s educational mission.
If any individual observes or experiences undiplomatic behaviour, bullying, harassment, or discrimination, they are encouraged to report it to the THIMUN Foundation’s Board or Staff. All allegations will be thoroughly investigated, and appropriate action will be taken. Consequences for such behaviour may include a verbal warning, expulsion from the conference without compensation, a ban from future THIMUN events, and a potential exclusion of the offending school from future participation. The THIMUN Foundation reserves the right to take any necessary measures to ensure the safety and wellbeing of all participants and uphold the values of the organisation.
BUSES & PUBLIC TRANSPORTATION
Public transportation in The Hague is convenient and easily accessible. We recommend contacting the concierge at your hotel for guidance on the best public transport routes to the World Forum.
Your HTM Card will serve as a Special Public Transport Conference Ticket, valid for travel on any HTM bus or tram in The Hague, Scheveningen, and Kijkduin from Tuesday, January 28, 2025, through Friday, January 31, 2025. Simply present the HTM Card alongside your THIMUN ID badge.
From the city centre trams 1, 10, 17 and buses 24 and 28 stop near the World Forum, from Scheveningen Noord/Bad trams 1, 10 and bus 21 stop close to the venue.
For those staying in hotels in Scheveningen or the City Centre, additional THIMUN-designated trams will operate between Noorderstrand and the City Centre, traveling to the World Forum between 08:00 and 09:00 AM and again from 17:00 to 18:00 PM. Should a tram or bus be at full capacity, please wait for the next available vehicle.
CLOAKROOM
The World Forum cloakroom, located in the entrance lobby, will be available free of charge for students and MUN Directors to store coats throughout the conference week. Please note that the cloakroom cannot accommodate bags, including laptops, which must be kept with you at all times.
CERTIFICATES
Certificates will be available for download through the MUNIS system after the conference concludes. MUN Directors can print these certificates and distribute them to the participating delegates upon their return. Should there be any discrepancies in the spelling of a delegate’s name, please contact the THIMUN office to request a correction.
FLAGS
The large flags used during the Opening and Closing Ceremonies are the property of THIMUN and may not be removed or defaced.
LUNCH
Starting Tuesday, lunch will be provided for all participants. Meals will be served at staggered times according to the schedule of each Committee, Sub-Commission, and ECOSOC, between 11:30 and 14:00 in the Pacific area.
Individuals who have notified the THIMUN Office of any special dietary requirements (e.g., allergies) will have their lunches available at the KWA Lobby Booth.
MOBILE PHONES / PORTABLE AUDIO EQUIPMENT
Delegates may use their phones to access documents or conduct research; however, phones must remain on silent mode at all times during sessions.
MERCHANDISE
Visit the THIMUN Sales stand to purchase exclusive THIMUN souvenirs. The stand is located on the first floor, outside the Yangtze rooms. All proceeds from merchandise sales will be donated to charity.
OPENING CEREMONY
The Opening Ceremony will take place on Tuesday at the World Forum Theatre. All GA Committees, ECOSOC, SC, NATO and SPC delegates are invited to take a seat on the main floor of the theatre. There will be no reserved seating, allowing delegates to choose any available seat, except for certain designated rows. Balcony tickets for additional seating will also be distributed, with a limited number of tickets allocated to each school.
Entrance to the theatre will be restricted to badge holders only. Please ensure you are seated by 15:50 at the latest, as no admission will be allowed once the ceremony begins. If the theatre reaches full capacity, the admin staff at the entrance will inform those unable to attend in person that they can follow the live broadcast in the Atlantic room.
PHOTOPGRAPHS
Each participating school will receive two official digital photographs of their group, which includes all delegates, officers, MUN Directors, and other participants. The photos will be taken in the Summit/Theatre Balcony on the second floor. Please refer to the schedule provided or click here to find the designated time for your school’s photo session. After the conference, the two digital images will be sent to the MUN Director of each participating school.
RULES OF CONDUCT
As participants in a serious and professional programme, it is expected that all attendees demonstrate maturity and respect for others, maintaining a framework that fosters a positive environment for all MUN participants. Every action should be in good taste and aligned with the primary purpose of the event. Failure to adhere to these guidelines may result in participants being sent home at their own expense, and schools may not be invited to future sessions.
Alcoholic Beverages and Narcotic Drugs
The consumption of alcoholic beverages is strictly prohibited during the conference. The legal age for alcohol consumption in the Netherlands is 18, and any use of narcotic drugs is expressly forbidden.
Students Staying in Hotels and Hostels
Students staying in hotels and hostels are reminded of their responsibilities towards their hosts and fellow residents. Special financial arrangements have been made for your benefit, and your cooperation is essential to ensure the continued success of the programme.
Curfew
In consideration of the demanding schedule of MUN sessions and out of respect for housing families and fellow hotel guests, a curfew of 23:00 is recommended from Monday to Thursday.
SAFETY & SECURITY
First Aid services will be available throughout the conference and can be found on the First Floor, outside the World Forum Theatre near Entrance Door 6.
In the event of an emergency, including evacuation or medical situations, please immediately inform the World Forum staff at the reception desk. Clearly state the nature of the emergency and its location, and follow the instructions of the staff, police, or fire brigade.
SMOKING AREAS
Smoking is not permitted anywhere inside the World Forum. The designated smoking area is outside, in front of the Convention Centre.
VOTING PLACARDS
Each delegate will be provided with a placard displaying the name of their delegation. This placard is required for voting and must be brought to all sessions. Please ensure you keep it with you at all times, as lost placards will not be replaced.
